Overview

The 360i Administrative Assistant plays a pivotal role in ensuring a seamless workflow for the members of management supported. The Administrative Assistant performs a wide range of administrative and office support activities for discipline leads to facilitate the efficient operation of the organization. The ideal candidate will have the ability to exercise sound judgement in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, as well as the ability to maintain a realistic balance among multiple priorities.

Responsibilities

  • Maintains an accurate calendar and manages schedule for discipline leads; ensuring schedule is strictly adhered.
  • Monitor, review and process expense reports and timesheet submissions in an expeditious manner.
  • Communicate information for and on behalf of discipline leads to internal and external audiences.
  • Arrange and organize meetings, teleconferences and other events.
  • Coordinate catering needs for meetings and events; handle all restaurant recommendations and reservations while taking dietary needs for all parties into consideration.
  • Plans travel itineraries and makes flight, hotel and car reservations.
  • Provide administrative and project management support.
  • Maintain a comprehensive calendar of dates for renewal or revision of recurring projects, policies, resolutions or other items; tracks time-sensitive projects, following up with staff well in advance of deadlines.
  • Collaborate with IT for swift resolution of any technical difficulties experienced by discipline leads.
  • Occasional reception coverage required.
  • Serves as a back-up support when other members of administrative team are out of the office.

Qualifications

  • 2-3+ years’ experience in administrative or similar role
  • Excellent administrative and organizational skills
  • Strong written and oral communication skills
  • Successful time management in a fast-paced environment
  • Knowledge of Microsoft Office Outlook, Word, Excel, PowerPoint, and Concur
